Talent Ops Specialist

Role: Talent Ops Specialist (Talent Operations)

Own the candidate’s first experience with Siena end to end, from triage through feedback and follow-through.

What you’ll own

• Inbound triage and first-round screens across Siena’s highest-volume and highest-stakes roles
• Candidate responses on time (every candidate’s answer, on time)
• Scheduling and logistics across a growing set of live roles
• Keeping ATS records immaculate (Ashby: pipelines, notes, statuses always current)
• Use AI in your workflow (Claude and similar tools) to run the work
• Occasional sourcing support when volume requires it (with outbound staying primarily with the Talent Ops Manager)

What you bring

• Agency background (either high-volume recruiting or precision searches)
• Treat candidates as relationships, not transactions, including those not moving forward
• Experience at a boutique agency or a startup (e.g., Series A or earlier)
• Ability to operate without a playbook and help build one
• Comfort building real workflows with Claude or similar tools (not optional)

What this role is NOT for

• If you need fully scoped queues and clear instructions before acting (this role relies on judgment)
• If you think candidate feedback is optional after a “no”
• If you want to skip AI tooling or rely on old methods
• If you’re looking only for pure headhunting or closing (this is operational + candidate experience work)

Contract / deal

• Six-month fixed-term contract, with potential to transition to a permanent role based on performance and business need.
