Program Operations Manager

Role overview

Program Operations Manager at Convergent Research, helping turn organizational complexity into clear, scalable operating systems. You’ll design and implement workflows, tools, documentation, metrics, and accountability structures that enable multiple concurrent programs to run effectively as the portfolio grows.

Responsibilities

• Build new program operations infrastructure from a “blank page” (no mature reporting environment or fully documented playbook).
• Create workflows, tools, documentation, operating rhythms, and accountability structures.
• Define what to track, how information is captured, and how data supports better decision-making.
• Translate ambiguous goals into actionable plans, identifying dependencies, owners, and deadlines.
• Mobilize internal teams and keep multiple complex initiatives moving at once.
• Develop meaningful metrics, dashboards, and feedback loops; identify bottlenecks.
• Partner closely with founders building organizations from scratch.
• Operate effectively in a distributed/remote setting through proactive communication and strong documentation.
• Use operational tooling and automation where it improves processes; evaluate how AI tools can accelerate work.

Requirements

• Experience in a startup or similarly entrepreneurial environment.
• Strong project-management instincts: can create structure without adding unnecessary bureaucracy.
• Builder mindset: create processes and systems that make work consistent, visible, and scalable.
• Data-driven approach: curiosity about what information improves decisions.
• Proven success collaborating in remote or highly distributed teams.
• Comfort learning new operational tools and understanding how systems fit together.
• Detail-oriented execution while maintaining a big-picture view.

Nice to have

• Experience with tools such as Notion, Asana, Coda, Smartsheet, Monday.com, Zapier, or comparable platforms.
• Experience using AI tools as a catalyst for operational work.
