Program Administration Manager

Role Overview

Greenlight Action (Greenlight America) is hiring a Program Administration Manager to lead program administration and operations for its fast-growing campaigns department. You will support the Senior Director of Campaigns by building department-wide systems, improving internal operations, managing core operational functions, and providing light executive support.

Responsibilities

Program Administration (50%)

• Design and improve department-wide systems and structures with the Senior Director, identifying gaps and building scalable solutions.
• Lead the department retreat and other all-team convenings (logistics through content flow).
• Create onboarding and support systems for a new department internship/fellowship program.
• Establish and maintain a communication cadence (e.g., weekly updates, call recaps) and internal comms norms.
• Draft and/or coordinate internal communications on behalf of the Senior Director (including the weekly department update).
• Maintain organized department files, shared resources, and documentation.
• Support culture and engagement efforts in partnership with the Senior Director.
• Provide light-touch executive support (e.g., travel logistics; team gestures for staff).
• Own ad hoc special projects as departmental needs evolve.

Campaign Operations Management (50%)

• Coordinate with Operations on campaign budget management (tracking expenditures, flagging variances, working with staff/finance).
• Identify and fix gaps in operational systems and processes as the team scales.
• Manage operational workflows such as contractor invoicing and train staff on workflows.
• Build and maintain systems for accurate expense categorization and ensure teams follow financial protocols.
• Coordinate cross-functionally across campaign staff, operations, and other stakeholders using clear communication.
• Drive adoption of financial/operational practices via rollout and follow-up.
• Serve as a responsive point of contact for operational questions for staff and contractors.
