Role Overview

People Operations Manager at Embarc Advisors. This role manages the firm’s day-to-day people operations and serves as the primary point of contact with its PEO.

The position owns recruiting, onboarding/offboarding, and professional development across all three practice groups, and also covers compliance, workforce performance planning, HR budget alignment, vendor/benefits negotiations, compensation/bonus design input, and performance-metrics frameworks. As the firm scales, the role applies AI tools to optimize HR processes.

Responsibilities

PEO Coordination & HR Administration

  • Act as the primary liaison to the PEO for:
    • benefits enrollment
    • payroll processing
    • compliance filings
  • Coordinate open enrollment, benefits changes, and leave administration with the PEO
  • Maintain accurate employee records and ensure data consistency between internal systems and the PEO platform
  • Handle employee HR inquiries and resolve/escalate as needed

Recruiting

  • Lead full-cycle recruiting:
    • job postings, sourcing, screening
    • interview coordination
    • offer administration
  • Partner with practice leads to set hiring criteria and implement structured, work-sample-based interview processes
  • Administer employee referral programs
  • Produce recruiting reporting (e.g., pipeline, time-to-fill, source effectiveness, cost-per-hire)

Onboarding, Professional Development & Offboarding

  • Own new-hire onboarding, including:
    • paperwork
    • systems-access coordination with the PEO
    • orientation
    • 30/60/90-day ramp plans
  • Design and deliver professional development/training programs; track completion and effectiveness
  • Support career-pathing and competency frameworks with practice group leaders
  • Manage termination processing (voluntary and involuntary) with PEO coordination

Workforce Performance & Strategic HR Operations

  • Oversee workforce performance including:
    • staff needs forecasting
    • offshoring relationships
  • Ensure multi-state employer compliance (payroll, benefits, 401(k) administration)
  • Own HR budget alignment and cost management
  • Lead or support vendor and benefits negotiations
  • Provide compensation expertise for offer and bonus design
  • Build performance-metric frameworks
  • Manage capacity/utilization planning across practice groups
