About the role
Role Overview
The Operations Specialist – Virtual Marketing Events is responsible for the strategy, logistics, and execution of Gartner’s live virtual marketing sessions across the funnel. The role reports to the Manager, Marketing and focuses on delivering a seamless attendee experience while improving program performance through data-driven operations.
Responsibilities
Execute and Deliver Live Virtual Programs
- Host and execute live virtual sessions (introducing presenters, delivering scripted remarks, guiding audiences, managing announcements).
- Operate webinar platforms to ensure smooth attendee experiences.
- Coordinate event preparation and logistics (rehearsals, presenter access, training, materials, session assets).
Manage Content Publishing and Presentation Materials
- Collect, review, edit, and upload presentations, scripts, and promotional content to webinar platforms and Gartner.com.
Ensure Program Quality and Readiness
- Maintain accurate documentation and monitor event details.
- Partner with stakeholders to proactively resolve issues.
Manage Program Communications and Operations
- Support presenters, sales teams, prospective clients, and internal partners with timely communications and clear expectations.
- Manage registration tracking, stakeholder updates, participation reporting, and promotional requests (with Digital Marketing teams).
- Act as a cross-functional liaison across research, marketing, and operational teams to align priorities and deadlines.
Drive Program Performance and Continuous Improvement
- Monitor audience engagement, registration trends, and session metrics to derive insights and growth opportunities.
- Evaluate workflows, promotional channels, and operational processes to improve efficiency, scalability, and reach.
- Recommend new approaches, support pilots, and implement best practices to enhance outcomes.
Requirements
- Bachelor’s degree in marketing, business, or related field (preferred).
- 2–3 years of marketing and/or operations-related experience.
- Proficient with Excel and PowerPoint; familiarity with Google Drive.
- Strong oral and written communication skills.
- High accuracy and attention to detail with excellent organizational skills.
- Project management mindset; able to juggle multiple competing priorities.
- Process-oriented approach focused on efficiency.
- Independent ownership with strong collaboration skills.
- Analytical mindset with comfort working with metrics and data.
