Operations Manager, AI Enablement

Role Overview

Operations Manager, AI Enablement at Whip Around. Reporting to the Director of Operations, you will ensure Whip Around’s AI tools and supporting systems run smoothly, while driving AI enablement across the business. You’ll help identify practical AI opportunities, convert experiments into reliable workflows, and embed solutions into day-to-day operations.

Responsibilities

Operational Delivery & Support

• Manage day-to-day operations within your scope to keep workflows, resources, and projects aligned to team goals
• Track and report operational KPIs; flag performance gaps and support corrective actions
• Help manage operational budgets and tool spend, ensuring strong value from systems and vendors

AI Enablement & Use-Case Production

• Support rollout and adoption of AI/automation tools (guides, training, and hands-on enablement)
• Identify and prioritize AI use cases tied to measurable outcomes (less manual effort, more consistency, time/cost savings)
• Take experiments through to production: requirements gathering, output validation, rollout, and ongoing maintenance/improvement
• Deliver early “quick wins” in the first months, then establish monitoring and improvement routines
• Ensure live AI tools stay accurate by keeping them fed with current, reliable information

Process Improvement & Systems

• Map and improve operational processes; spot bottlenecks where AI/automation can replace manual administration
• Maintain and improve core systems such as Salesforce/HubSpot CRM and Jira; identify integration gaps and usability issues
• Document processes, tools, and SOPs so knowledge is repeatable and easy for the team to use

Data, Reporting & Stakeholder Support

• Gather business data requirements and turn them into reports, dashboards, and actionable insights
• Run audits of key data for accuracy and help resolve sources of variance
• Prepare monthly/quarterly analytics for the Director and senior leadership, with clear explanations
