Operations Manager

Role Overview

Operations Manager for a fast-paced boutique agency. You’ll streamline day-to-day internal operations, build and improve workflows, and help systemize back-office processes to enable the team to operate efficiently. While the role starts non-client-facing, it may evolve for the right candidate.

Responsibilities

• Maintain a consistent organizational “drumbeat” by running daily business processes and ensuring priorities are tracked and acted on.
• Proactively identify operational pain points and independently design, implement, and roll out new processes/systems, including training.
• Improve existing workflows and systems: propose changes, implement them, and ensure adoption.
• Streamline client-facing processes where applicable (onboarding, communications, ongoing workflows).
• Hold team members accountable to company procedures while supporting an organized, efficient working environment.
• Partner with leadership (CEO and managing director) while operating autonomously.
• Systemize back-office operations, including:
  • Invoicing
  • HR processes
  • Capacity planning
• Research and recommend software and third-party tools; implement automation and AI agents when appropriate.
• Stay current on AI trends and capabilities.
• Coordinate team operations such as offsites planning and travel arrangements.
• Edit and maintain branded collateral and marketing materials using Google Slides (taste and detail-oriented design).

Requirements

• 5–6 years of experience in operations or project management.
• Systems thinker who builds sustainable, scalable solutions (not one-off fixes).
• Agency environment experience is a plus.
• Strong people leadership qualities: accountable, supportive, and capable of operating end-to-end independently.
• Practical AI knowledge: has implemented agents and/or automations in a professional environment.
• Proficient with Asana (system of record) and Google Suite.

Nice to Have

• Experience executing agency operational workflows (planning, project operations, internal systems).
• Experience with Google Slides for maintaining branded marketing collateral.
