About the role

Role Overview

Finance Manager at Reputation Rhino, owning the end-to-end finance function (operations and reporting). The role focuses on stabilizing financial operations, then simplifying, automating, and documenting processes as the business scales.

Responsibilities

First 90 Days (hands-on)

Run billing, collections, payroll, and commissions cleanly
Stabilize month-end close
Retire manual spreadsheets as reporting moves into QuickBooks

Financial Operations

Own accounts receivable (AR) and accounts payable (AP) end to end
Create and send monthly client invoices in QuickBooks and keep billing records accurate
Apply and reconcile client payments, including autopay and ACH
Categorize and match bank/credit card transactions in QuickBooks
Monitor past-due accounts and execute collection calls and written follow-ups at 15/30/45/60-day milestones (partnering with a collections agency after 60 days)
Process independent contractor invoices and standard AP
Monitor finance and billing email inboxes daily

Payroll and Compensation

Process bi-weekly payroll accurately and on schedule
Submit payroll reports to the Head of Operations
Produce monthly CSM and Sales Commission reports

Reporting and Financial Intelligence

Deliver projected P&L (the posting cuts off mid-sentence after this item)

Requirements

Has owned the full finance function in a fast-moving, scaling business (not just supported it)
Experience with real revenue in the $3M–$10M range
Has personally run monthly close (knows systems used, timing, and issues caught)
Can identify when financial infrastructure lags the business and fix it
Brings numbers plus context/story and recommendations proactively to leadership
Strong systems thinking, accuracy, and speed with non-negotiable deadlines
Builder mindset: improve, document, automate, and leave processes better than found

Nice-to-Haves

Prior experience transitioning reporting/workflows into QuickBooks
Experience partnering with or managing collections processes through milestones and escalation
