About the role

Role Overview

Wing is seeking an Experiential Marketing Manager to own the company’s presence at industry events, tradeshows, and conferences across North America. This is a hands-on role focused on sourcing the right events, running them end-to-end, and ensuring each event drives measurable pipeline and revenue.

Responsibilities

  • Source & prioritize events: Research, evaluate, and recommend tradeshows/conferences aligned with ICP and revenue goals.
  • Own the event calendar: Maintain a rolling 12-month event plan.
  • Negotiate & contract: Manage relationships with organizers, vendors, and venues; negotiate sponsorships, booth space, speaking slots, and add-ons.
  • Plan & execute end-to-end: Own details including:
    • booth design and shipping
    • swag and collateral
    • lead capture (badge scanners)
    • AV, catering
    • hotel blocks and team travel logistics
  • On-site execution: Attend every event in person; set up/tear down, troubleshoot in real time, and ensure a polished presence.
  • Prep the team: Brief attendees on objectives, talking points, target accounts, and logistics.
  • Drive pipeline with Sales: Partner with sales to book pre-show meetings, run on-site dinners/customer events, and ensure fast lead capture/qualification/follow-up.
  • Run pre- and post-event campaigns: Coordinate with marketing on email outreach, landing pages, paid promotion, and social to drive booth traffic and meetings.
  • Own the budget: Track event spend, forecast, flag risks early, and make ROI-focused trade-offs.
  • Define KPIs & report results: Set per-event KPIs (leads, meetings, pipeline, ROI) and deliver clear post-event reports to improve future performance.

Requirements

  • 1–4 years in event marketing, field marketing, or event coordination (ideally B2B/tech).
  • Demonstrated ability to organize events end-to-end.
  • Experience managing an events budget (forecasting, tracking spend, ROI trade-offs).
  • Strong capability defining KPIs and reporting that ties event activity to pipeline/revenue.
  • Strong interest in AI and evidence of using it to improve/automate event marketing work (e.g., research, vendor outreach, post-event reporting, content drafting, lead enrichment).
  • Familiarity with HubSpot (CRM side acceptable; company will cover the rest).
  • Excellent project management instincts with many moving pieces.
  • Comfortable negotiating with vendors and event organizers.

Nice to Have (Implied)

  • Specific event examples showing results from shows you ran.
  • Clear examples of AI workflows/tools used in day-to-day event marketing.
