About the role

Role overview

As Events & Field Marketing Manager at Toggl, you own the lifecycle of the company’s in-person and hybrid presence. You turn sponsorships, trade shows, and owned experiences into a reliable pipeline engine, ensuring attendees become active sales conversations quickly.

Location & travel

  • Work from anywhere in the world, with your main location between UTC-5 and UTC+2
  • Travel required to North America and Europe for events (runs on both sides of the Atlantic)

Responsibilities

Sponsored event execution

  • Lead end-to-end operational coordination for major sponsorships and industry trade shows
  • Manage vendor communications, booth layout/design, compliance logistics, and swag sourcing & distribution
  • Own the event budget and negotiate with vendors

Event content & communications

  • Write and produce event materials end-to-end:
    • invitations, landing pages, promotional emails
    • social posts, on-site materials
    • post-event follow-up sequences
  • Create post-event recap assets (as relevant):
    • summary emails, LinkedIn posts, highlight videos, case studies

Pipeline coordination

  • Reduce post-event pipeline latency by building cross-departmental SLAs before events
  • Work with Sales and the Demand Gen Manager to:
    • build pre-event ad layers and account matching lists
    • design post-event outbound sequencing so leads are in active sales conversations within 24 hours

Owned experiential events

  • Research, conceptualize, and execute curated in-person touchpoints (e.g., micro-roundtables, VIP dinners)
  • Handle venue negotiation, culinary curation, guest list outreach, and on-site execution

Additional responsibilities

  • Own event lead capture and ensure attendee data flows into HubSpot with correct source attribution
  • Report cost-per-opportunity for each activation
  • Collaborate with Marketing and Sales to align events with pipeline and business goals
  • Use AI tools extensively for research, synthesis, analysis, drafting, and exploration (AI fluency is required)

What success looks like

  • Every event has a clear plan to convert attendees into pipeline before it happens
  • Vendor logistics and budgets run smoothly
  • Event content extends impact for weeks afterward
  • No lead is left untouched for more than 24 hours
  • Over time, you build a repeatable events playbook
