Chief of Staff

Role overview

As Chief of Staff at Vapi, you will be a force multiplier for the CEO—taking ambiguous, high-stakes company problems, driving them to measurable outcomes, and either solving them directly or building the team/process to solve them. This role is not administrative (no scheduling/note-taking); it’s an operator-builder role positioned at the center of the company.

What you’ll do

First 30 days

• Embed with the CEO and leadership team to understand how the company operates today
• Learn the product deeply enough to speak credibly with customers and engineers
• Attend major meetings and build a map of company goals, metrics, open decisions, and bottlenecks
• Own the leadership operating cadence (leadership meetings, agendas, follow-ups) to ensure nothing falls through the cracks

First 60 days

• Take full ownership of one or two ambiguous, cross-functional problems the CEO cares about
• Drive them to measurable outcomes
• Tighten planning and reporting by clarifying company metrics and OKRs and making progress visible

First 90 days

• Act as a trusted extension of the CEO: represent them in meetings and make/communicate decisions on their behalf
• Run key processes such as planning, board prep, all-hands, and key hiring loops
• Identify the next set of high-leverage problems and either own them or build teams to own them

Who you are

• Strong business generalist with a technical bent (not necessarily production coding, but able to go deep on the technical product and discuss engineering execution)
• Experience operating with high ownership in fast-moving environments (e.g., founding employee/founded company)
• Exceptionally organized; brings order to ambiguity and ensures follow-through
• Comfortable owning a broad and changing set of responsibilities (strategy one week, operations the next, critical hires the next)
• Ideally has structured problem-solving experience (e.g., consulting or banking)
• Can break down messy problems and communicate crisply to executives
• High trust, high judgment, low ego; comfortable with unglamorous work and sharing wins
