About the role
Role overview
Workplace Operations & Experience Coordinator (Associate, Part-time 20 hrs/week) for Thoughtworks’ Business Services team (Workplace Operations & Experience). This is a majority in-person role based in Munich, supporting a consistent, high-quality, culturally relevant experience across Thoughtworks’ physical spaces globally.
Responsibilities
Facilities Management & Maintenance
- Ensure the Munich office space is continuously well-maintained, clean, and organized.
Engagement & Connection
- Drive logistical elements of community engagement to build belonging across the local Thoughtworks population and broader ecosystem.
Onboarding & Offboarding
- Support administrative processes for onboarding, offboarding, and employee transfers.
Events
- Partner with internal teams and Digital Experience (DEC) to execute local meetings, events, and experiences (logistics).
Health & Safety
- Contribute to local health, safety, and emergency response protocols and address hazards.
- Prepare documentation and organizational work for ISO and TISAX certifications.
- Serve as the designated Safety Officer or complete training to become certified.
Working Groups
- Participate in local working groups.
Physical Security & Access Control
- Oversee physical security measures.
- Manage key relationships with Infosec and Legal and contribute to local certifications and uplift activities.
- Manage access controls and badges for employees and guests.
Travel Support
- Assist travelers with booking arrangements or support self-service booking channels.
Procurement & Office Services
- Procure office amenities/services via approved suppliers; set up new suppliers using internal systems.
Real Estate Liaison
- Coordinate with local building management to troubleshoot maintenance issues and execute improvements to leased spaces.
Sustainability
- Implement local sustainability initiatives; track/report sustainability metrics and environmental compliance.
Budget Management
- Maintain accurate records of spend against the allocated regional budget.
Requirements
- Exceptional customer service with a people-first mindset.
- Tech-savvy: comfortable with modern office systems, booking platforms, and administrative tools.
- Physical capability to complete physical labor (lifting/moving items to arrange spaces).
- Strong problem-solving and independent, creative issue resolution.
- Execution-focused mindset; able to manage multiple logistical tasks simultaneously.
- Prior experience as a certified Safety Officer, or strong willingness to undergo training.
- Experience preparing workplace operations and documentation for ISO and TISAX certifications (preferred/required).
Additional info
- 20 hours/week part-time.
- Majority in-person in the Munich office by default.
- Occasional travel to other regional office locations.
- May require out-of-hours work (evenings/weekends) to support events or operational projects.
